Oral speakers


These instructions describe the different steps and requirements for a successful oral presentation.

Please read them carefully




Speakers are invited to go to the Preview Room (Room 243 - 2nd floor) at least 2 hours before their talk to upload their presentation. Speakers of the morning sessions should upload their presentation the day before.
Only the following storage device is accepted: USB Flash memory.

Format : Powerpoint. Slides must be sized for an on-screen show of 16:9.

Please note that the Grand Amphitheatre speakers do not have to go to preview room.

They are asked to send their slides in advance to the organising team.

The Preview room is located on the second floor - Room 243. Please ask at the welcome desk if you need help locating the room.


Opening time of preview room:

Sunday, July 7th: 4:00pm – 6:00 pm

Monday, July 8th: 7:00 am – 6:00 pm

Tuesday, July 9th : 7:30 am – 6:00 pm

Wednesday, July 10th : 7:30 am – 6:00 pm

Thursday, July 11th: 7:30 am – 6:00 pm​

Presentations must be provided in their final version. Speakers will be able to check their presentation in the preview room with some assistance if required.

The files downloaded in the preview room are automatically backed up and transferred to the conference rooms. Speakers will only have to click on their presentation on the computer at the speakers’ desk.

The use of personal computer in the conference room will not be possible. Macintosh computers are not available.




The software version used in the conference room is Microsoft PowerPoint 2016. 

Authors using Macintosh must ensure that their presentation operates correctly in the Windows environment.

If your PowerPoint presentation includes videos:

  • They should preferably be in AVI or MP4 format. Use a standard codec.

  • The presentation and its related files should be in the same folder on the usb key.

  • It is important to limit the size of your document. The use of high definition videos and images is not necessary for projection.

  • The Preview System supports the Standard Western Europe fonts only. If the presentation absolutely requires special characters contained in other fonts, they have to be provided by the Speaker in the Preview room.



Your speaking time, questions included, have been confirmed by email.

Please adapt your presentation to fit within the allotted time.

It is important that sessions begin and end on time.
